What this does
An offboarding cycletracks one employee's exit end to end: a seeded task checklist, a status that moves through the exit stages, the Full and Final (F&F) settlement calculation, and the lettersthe leaver receives. WorkRight computes the statutory parts of F&F — gratuity (Payment of Gratuity Act §4), tax-exempt slices of gratuity and leave encashment (Income-tax Act §10(10) and §10(10AA)), and any notice-period recovery — and saves the result as a write-once snapshot (a permanent record under Companies Act 2013 §128).

- Run offboarding: an HR admin (a
company_adminorhr_manager). Every offboarding screen except the letter-acknowledgement page is HR-admin gated, on the screen and at the backend. - 2FA:computing F&F is a step-up two-factor (TOTP) action, because it writes an immutable financial snapshot — so 2FA must be set up on your account first.
- Acknowledge a letter: only the addressed recipient (for warning / show-cause notices).
Before you start
F&F draws on the leaver's salary fields (Basic and HRA) and their work start date, so make sure the employee record is complete — gratuity eligibility depends on tenure (five years of continuous service). Recover company assets as part of the exit checklist.
Steps — open and work the cycle
- Open HR → Offboarding and click New. Pick the employee, set the last working day, notice period and reason. Tasks are seeded automatically. (Back-dating the last working day more than 30 days needs an explicit confirmation.)
- Open the cycle to see its header (status, reason, last working day, notice), the Actions panel that moves it to the next valid stage, and the task checklist with assignees.
- If an ICC seat handoff task is present (where the leaver sat on the Internal Committee), complete the handoff so POSH committee quorum is preserved before you close.
Steps — compute the F&F settlement
- Once the cycle reaches the F&F-pending stage, the F&F compute panel opens. You enter the HR input lines — notice-period days served, outstanding advances, TDS on F&F, and any additional payments or additional deductions.
- Gratuity, leave encashment and the notice-period recoveryare computed for you — you don't hand-key them. Enter a sensible figure for the input lines (a one-extra-digit typo is caught before you submit).
- Submit. You'll be asked for your 2FA code, and WorkRight writes the F&F snapshot. From then on it's shown read-only — additions on one side, deductions on the other, the final payable highlighted, and flags showing which rules applied (gratuity eligible / forfeit, the tax-exempt amounts).
Steps — issue the letters
From the cycle's letter library you can generate, send and download the cycle-bound letters:
- Relieving letter — confirms the separation.
- Experience letter — service record, with an optional manager summary.
- F&F statement— the settlement statement; this one requires the F&F snapshot to exist first.
Tenant-wide letters that aren't tied to one exit — warning / show-cause and probation confirmation — live in the Letterstab's template library. A warning letter must be acknowledgedby the recipient before you can rely on the "they were notified" disposition; the employee opens it, previews the PDF and confirms receipt (which is not an admission of any underlying conduct).
What happens next
Once the tasks are done and F&F is settled, move the cycle to closed. The F&F snapshot stays immutableas a statutory record, and the generated letters remain available to download or re-issue. If you spot an error after locking, you handle it outside the locked snapshot rather than editing it — that's what keeps the exit audit-clean.
