What this does
This covers three connected surfaces. Attendance lets employees punch in and out — from the installable web app (PWA), with their location read only at punch time to confirm they're on site. Shifts define working patterns, put people on a roster, and let them swap. Timesheets capture hours against projects each week and route them for manager approval. Together they feed payroll — attendance can drive loss-of-pay and overtime.
Who can do it
- Employees punch in/out, file regularizations, see their own shifts, request swaps, and fill their weekly timesheet.
- Managerssee their team's attendance, approve regularizations, roster their reports, approve swaps, and review submitted timesheet weeks.
- HR admins (
company_adminorhr_manager) configure attendance and shift settings, manage the project catalogue, and can re-open an approved timesheet week. - Plan:Attendance and Shifts are part of the attendance module; weekly timesheets need time tracking enabled. If a surface isn't on your plan, its menu is hidden — see pricing.
Steps — punch in and out (employee)
- Open My Attendance. Today's card shows your status, or No punch yet.
- Tap Punch in. Your browser is asked for your location to confirm you're at the office. If you decline or it's unavailable, the punch still goes through — location isn't blocking.
- At the end, tap Punch out. Each punch appears under Today's punches as In or Out with the time; a punch made outside the office geofence is flagged.
- If you're offline, the punch is queued on the device and syncs automatically when you reconnect. The Last 30 days strip shows a color-coded history (present, WFH, absent, late and so on).
Steps — fill and submit a timesheet (employee)
- Open Timesheet. Use the week navigator to land on the week you want.
- Add the projects you worked on with + Add project, then enter hours per day in 0.25-hour increments. Leave and holidays show as read-only overlay rows and aren't counted. A soft Over 48h/week warning appears if you cross 48 hours.
- Use Copy from last week to pre-fill an empty week, Save draft as you go, then Submit week. After submitting you can't edit unless your manager rejects it.

- Regularize attendance — fix a missed or wrong punch: pick the date, a reason (missed punch, wrong time, work from home, on duty, other), optional corrected in/out times, and a note. It goes to your manager or HR. You can cancel a pending request.
- Team attendance (manager/HR) — a daily grid of who was present, with status, minutes worked, late and overtime.
- Attendance approvals (manager/HR) — the queue of regularizations; approve, or reject with a required reason.
- My shifts — your roster for the next 14 days, with a swapped marker where a swap applied.
- Roster(manager/HR) — assign an employee to a shift on a date; the week's assignments show who's on what.
- Shift swaps— request a swap with a colleague; they accept, then a manager or HR approves, which swaps the two roster rows. Either side can cancel while it's pending.
- Timesheet approvals (manager/HR) — submitted weeks with Submitted, Approved and Rejected tabs; open a week to approve it, or reject it with a comment so the employee can resubmit.
- Settings (HR) — toggle whether a selfie is required at punch, manage office geofence locations (name, latitude, longitude, radius), choose whether attendance drives payroll loss-of-pay, and define shifts (start, end, break and grace, with night shifts detected automatically). HR also manages the timesheet project catalogue (code, client, billable, rate, access).
What happens next
Approved timesheet weeks lock; if HR needs to re-open one, that action is audited and the week returns to draft. Attendance flows into payroll where you've enabled it, so loss-of-pay days and overtime are calculated from real punches rather than re-keyed by hand.
Tips
- Install the app to the home screen so punching is one tap — and so offline punches queue and sync when you're back online.
- Set your office geofence locations before rollout so out-of-fence punches get flagged for review.
- Submit timesheets weekly — a week can't be edited once submitted unless the manager rejects it, which keeps the audit trail clean.
